How to build an AI sales pipeline: PhantomBuster + Hunter + Instantly

What I do is read the docs, the pricing pages, and the policy fine print, then map out the pipeline that actually works without getting your domain blacklisted.
By the end of this guide you'll have a three-stage outbound sales pipeline running: a list of real prospects, verified email addresses for each one, and a campaign that sends to them and sorts the replies for you.
The mistake most people make is buying one tool and expecting it to do all three jobs. None of them do. A good outbound pipeline is three specialists handing work down a line: source the leads, find and verify the emails, then send. Skip a stage and the whole thing leaks.
Here's the stack I'd build it with, and exactly how the three pieces connect.
The three layers (and why one tool can't do it)
Think of outbound as an assembly line.
Layer 1 — Sourcing. You need a list of the right people: name, company, role, LinkedIn URL. PhantomBuster builds that list by automating the platforms where those people already are.
Layer 2 — Email finding and verification. A LinkedIn list isn't a contactable list. You need work emails, and you need to confirm they're real before you send. Hunter does both.
Layer 3 — Sending and inbox management. Now you send — at volume, without torching your main domain. Instantly handles the sending infrastructure, the warmup, and the replies.
Each layer feeds the next. The output of one is the input of the next. That's the whole pipeline.
What you'll need before you start
Three accounts, and about an hour for the first build.
- A PhantomBuster account (Starter is enough to begin — ~$56/month annually).
- A Hunter account (the free tier covers your first test; ~$34/month annually when you scale).
- An Instantly account (Outreach Growth, ~$37.60/month annually).
- A separate sending domain you don't mind risking. Never send cold email from your primary domain. Buy a lookalike (yourcompany-mail.com), and point it at Instantly.
One honest warning up front: cold email is regulated. CAN-SPAM in the US, GDPR in Europe, CASL in Canada. You're responsible for compliance — every tool here gives you the gun, not the license. Send to relevant prospects, honor opt-outs, include a real address. Do that and you're fine.
Step 1 — Source your leads with PhantomBuster
PhantomBuster runs pre-built automations called "Phantoms." For sourcing, the workhorse is the LinkedIn Search Export.
- In PhantomBuster, go to the Phantom Store and search for "LinkedIn Search Export." Click Use this Phantom.
- Connect your LinkedIn account by adding your session cookie (PhantomBuster's browser extension grabs it for you in two clicks).
- Run a LinkedIn or Sales Navigator search for your ideal customer — say, "Head of Marketing" at 50–200-person SaaS companies in the US. Copy that search URL into the Phantom.
- Set the number of results to extract. Start small: 50 leads for your first run, so you can check quality before scaling.
- Set the schedule. For a controlled start, run it once manually. Don't put it on a daily loop until you trust the output.
- Launch it. PhantomBuster returns a spreadsheet: name, job title, company, and LinkedIn profile URL for each lead.
The catch — and there's always a catch: LinkedIn does not love automation, and aggressive scraping can get an account restricted. Keep volumes human-sized (a few hundred a day, not thousands), and use a real, warmed-up LinkedIn account, not a burner. PhantomBuster's cloud runs the actions from its own infrastructure, which helps, but the account risk is still yours to manage.
What you have now: a clean list of the right people. What you don't have yet: a way to email them.
Step 2 — Find and verify emails with Hunter
Your PhantomBuster export has names and companies but no reliable emails. That's Hunter's job, and it does two things you must not skip.
Find the emails.
- In Hunter, use the Domain Search to pull every known email at a target company, or the Email Finder to get one specific person's address from their name + company domain.
- For a whole list, use Hunter's Bulk tools (or its Google Sheets add-on): paste in the names and company domains from your PhantomBuster export, and Hunter returns the most likely work email for each, with a confidence score.
Verify them before you send. This is the step that protects everything downstream.
- Run every address through Hunter's Email Verifier. It checks whether the mailbox actually exists without sending anything.
- Keep only the addresses that come back valid. Drop the "risky" and "invalid" ones — sending to dead addresses spikes your bounce rate, and a high bounce rate is what gets your domain flagged as spam.
In practice, not in theory: a 3% bounce rate keeps you safe; a 10% bounce rate gets your sending reputation torched in a week. Verification is the cheapest insurance in the whole pipeline. Hunter's free plan (25 searches + 50 verifications a month) is enough to test this end to end before you pay for anything.
Export your clean, verified list as a CSV. That's the file Instantly wants.
Step 3 — Send and manage replies with Instantly
Now you send — but the order of operations here matters more than people expect.
- Connect your sending domain first, then wait. In Instantly, add the inboxes on your separate sending domain. Turn on warmup and let it run for at least two weeks before sending a single cold email. Warmup makes your new inboxes look like real people sending real mail, so the mailbox providers trust you. Skip this and your first campaign lands in spam. Every plan includes unlimited inboxes and warmup, so use them.
- Upload your verified list. Import the Hunter CSV. Map the columns (email, first name, company) to Instantly's fields so you can personalize.
- Write a short sequence. Three emails, spaced a few days apart. Keep them plain text, two or three sentences, one clear ask. Use the personalization variables —
{{firstName}},{{companyName}}— so each one reads like it was written for that person. Cold email that looks like a template gets deleted like a template. - Throttle the send. Set a low daily limit per inbox (20–30 emails) and let Instantly spread the volume across all your inboxes. Slow and steady protects deliverability.
- Manage replies in Unibox. Every response across every inbox lands in one unified inbox. You sort interested from not-interested, and that's your pipeline — real conversations with people who replied.

Troubleshooting the three things that break first
"My emails are landing in spam." Almost always warmup. You didn't wait long enough, or you ramped volume too fast. Pause, let warmup run another week, and lower your daily send. Deliverability is patience, not a setting.
"My bounce rate is high." You skipped or rushed verification in Step 2. Re-run the list through Hunter's verifier and remove everything that isn't a clean "valid." Never trust a found email you haven't verified.
"My LinkedIn account got restricted." You scraped too aggressively in Step 1. Drop your daily volumes, make sure you're using an established account, and give it a few days to recover before running anything.
What this costs, and where to start
The full stack, on annual billing, runs roughly ~$56 (PhantomBuster) + ~$34 (Hunter) + ~$37.60 (Instantly) = ~$128/month to start. That's the entry tier of each tool — enough to source, verify, and send a few hundred contacts a month. Add credits and inboxes as volume grows.
Here's where the money actually goes: sourcing and sending are the obvious costs, but verification is the one people cut to save $34 and then pay for with a dead domain. Don't cut it.
Don't buy all three on day one. Build it in order. Start with Hunter's free tier and a handful of leads you already have — find their emails, verify them, and send a tiny test campaign through Instantly.
